Job Summary

The Back Office Support will be responsible for performing a variety of administrative and support tasks to ensure the smooth operation of the company’s internal processes. This role involves managing data, processing documentation, coordinating with other departments, and supporting the front office and sales teams.

  • Minimum Qualification : Bachelors
  • Experience Level : Entry level
  • Experience Length : 1 year

Job Description/Requirements

Key Responsibilities:

1. Administrative Support:

  • Manage and maintain accurate records of all company transactions and client interactions.
  • Prepare and process documents, contracts, and reports.
  • Handle correspondence, emails, and phone calls related to back office operations.

   

2. Data Management:

  • Enter and update data in the company’s CRM and other databases.
  • Ensure the accuracy and completeness of data records
  • Generate reports and provide data analysis as needed.


3. Coordination:

  • Coordinate with the front office, sales, and other departments to ensure seamless operations.
  • Assist in scheduling and organizing meetings, appointments, and events.
  • Support the logistics and inventory management processes.

 

4. Customer Support:

  • Assist in handling customer inquiries and issues that require back office intervention.
  • Ensure timely resolution of customer complaints by coordinating with relevant departments.
  • Provide support to the customer service team as needed.


5. Compliance and Documentation:

  • Ensure all company processes and activities comply with internal policies and regulatory requirements.
  • Maintain confidentiality and security of company and customer information.
  • Prepare and maintain detailed documentation of back office procedures.


6. Process Improvement:

  • Identify areas for process improvement and efficiency enhancement.
  • Implement best practices for back office operations.
  • Participate in training sessions and workshops to enhance skills and knowledge.


Qualifications:

 Skills:

  • Strong organizational and multitasking abilities.
  • Excellent attention to detail and accuracy.
  • Proficiency in using Microsoft Office and CRM software.
  • Good communication and interpersonal skills.


Preferred Attributes:

  • Experience in data management and analysis. 
  • Knowledge of financial products and services. 
  • Ability to work independently and as part of a team.
