ABOUT US

Impact Water is a global non-profit dedicated to ensuring the human right to safe drinking water. The company delivers reliable, low-cost water treatment technologies to public and private schools in Nigeria, Kenya, and Uganda. We finance our operations through carbon emission reductions resulting from the displacement of boiling water as well as private donations.


We are currently serving over 60,000 schools and over 24 million students. Over the next several years, we aim to expand our model to reach more than 100,000 schools and 40 million students. In Uganda, we provide schools with clean drinking water primarily through ultraviolet purification systems. We also launched a pilot project in 2024 supplying schools with 100L tanks and water treatment tablets. We provide our systems free of cost to ensure that students have safe drinking water throughout the school year.


Since our inception, we have expanded our operations to 31 districts across Uganda, proudly serving over 3,200 schools and positively impacting the lives of over 2.3 million students throughout the country each year. In the coming year, we have set an ambitious goal to increase our educational outreach to each school that we serve. To achieve this vision, we require dozens of great Field Agents. By working together, we can turn our aspirations into reality and make a meaningful difference in the lives of students throughout Uganda.


What We Are Looking for:

A Finance and Admin Associate, who is dynamic, self-motivated and excited to work on key finance and admin functions, tasks and responsibilities in direct coordination with the Senior Finance Manager. S/he will support the company’s financial transactions, which include but are not limited to accounts payable and receivable functions to include, the processing of invoices, expenditures monitoring and financial reporting, bank reconciliation and account analysis, preparation and processing of local tax returns and budget monitoring.


Job Description:

The Finance and Admin Associate will ensure smooth and accurate handling of all financial processes of the office, including updating company financials on QuickBooks, and completing a month-close detailing the finance health of the Uganda office. They will also ensure all financial records are accurate and up to date, as well as manage inventory reconciliation. S/he will also provide operations and administrative support to the office teams.


Position Responsibilities and Duties:

A) Finance;

Financial Reporting and Budgetary Control;

  • Contribute to the overall objective of the Finance department of providing quality support service to all departments.
  • Ensuring all financial documents are timely and accurately posted for purposes of generating Program and project financial reports.
  • Ensure that all accounting documents are properly reviewed, approved, referenced, and ensure orderly filing and maintenance of accounting vouchers and transactions support documents to ease future reference in accordance with company policies and are available for checking at all times.
  • Ensuring that QuickBooks routine actions are adequately handled, and any issues of concern brought to the attention of the Senior Finance Manager for action.
  • Supporting the preparation of financial reports timely and accurately and providing the Senior Finance Manager with information for stakeholder use.
  • Prepare payments by verifying documentation, and requesting disbursements.
  • Management of the operation of cash/ MM accounts including petty cash.
  • Review and track activity advance requests, accountabilities and reports.
  • Support the preparation of Tax returns including NSSF, PAYE, VAT & Withholding Tax.
  • Supporting processes relating to both Internal and External Audits.


Assets management

  • Updating and monitoring inventory management tools and ensuring adequate stock levels are maintained each month and avoiding risks of negative balance.
  • Perform periodic Inventory checks and counts on materials, equipment, and stock.
  • Review inventory movement and report any anomalies identified to the Senior Finance Manager for appropriate action.
  • Manage the fixed assets register and all accounting requirements in the assets management e.g. reconciliation of assets.


B) Administration;

Procurement and logistics;

  • Assist in sourcing quotations during the procurement process, issuing LPO and reviewing supplier invoicing.
  • Support management in ensuring that all procurements are accurately and timely made to vendors as per the IW Policy carrying out facilitation payments at activity sites.


General Administration;

  • Organize workshops, trainings and meetings when requested and according to the annual work plans and calendar.
  • Ensure the timely issuance of monthly staff/ office administrative requests.
  • Supervise all administration staff to ensure the smooth running of the office.
  • Any other duties that are not specifically stated above but will necessarily come within the framework of your operation shall be assigned to you from time to time by the Senior Finance Manager.

  • High level of financial Integrity: Demonstrate strong ethical standards and can be fully trusted to carry out responsibilities with honesty. Given the decentralized role, you ensure transparency in your work and avoid situations that could lead to fraud or misconduct.
  • Cost-Conscious: Remain mindful of budget constraints and strive to use resources efficiently. You manage operational expenses prudently to complete field activities in a cost-effective manner.
  • Problem solving and team Player: Strong collaboration skills, dedication to team success. You will interact with all staff and stakeholders, supporting others and contributing to Impact Water's mission. Should demonstrate the ability to use your own initiative and actively look for opportunities to have an impact rather than simply be reactive.


REQUIRED SKILLS AND EXPERIENCE

  • A Bachelor’s degree in accounting and finance or Business Computing, Commerce, Economics, Business Administration or related field.
  • Any CPA accreditation like level two /ACCA level two is a bonus.
  • At least two (2) years financial administration experience.
  • Knowledge of GAAP and corporate finance principles and procedures will be an advantage.
  • Knowledge of computerized financial management and accounting systems (QuickBooks) and Taxation systems like EFRIS among others.
  • Good knowledge of Microsoft Office products Word, Excel and other relevant software and tools.
  • Excellent communication skills demonstrated in written and spoken English.
