Job Description/Requirements
Job Purpose
The Finance Manager will oversee the financial operations of the NGO, ensuring the efficient management of funds and compliance with organizational policies and donor requirements. The role involves preparing reports, budgets, and forecasts, as well as monitoring cash flow and expenditure to support programmatic and operational goals. The Finance Manager will manage audits, ensure accurate financial record-keeping, and provide strategic advice on financial decision-making. This position plays a key role in promoting financial transparency, accountability, and sustainability, ensuring the organization's financial health and alignment with its mission and objectives.
Management Responsibilities:
- Provide leadership to finance and accounting areas of the organisation.
- Provide useful financial insights to help make better decisions about formulating and executing strategy and provide guidance and analysis to executive and operational management to improve results.
- Maintain a system of accounts and keep books and records on all transactions and assets.
- Prepare and analyse accurate monthly financial and management reports, including income statement, balance sheet, budget and variance, projections and forecast, and cash flow for the entire organisation and individual programmes within.
- Maintain control of the following areas: general ledger, expense reports, billing, and payroll.
- Assist in the management of grants reporting, compliance, and reconciliation.
- Prepare a variety of ad hoc financial scenarios as requested.
Transactional Responsibilities:
- Ensure that all financial transactions are processed accurately, promptly, and in accordance with generally accepted accounting principles.
- Develop, implement, and maintain processes and controls that are current best practices related to transaction processing.
- Manage, oversee, process (as appropriate), and act as backup for processing the following transactions: payroll, accounts payable, revenue and expense, fixed assets, cash, bank reconciliations, and allocations.
- Perform month-end closing procedures, including overhead allocations, account reconciliations, and updating schedules.
Reporting Responsibilities:
- Assist in issuing timely, accurate, and complete financial statements for all levels, including the Board of Trustees, executive, and management.
- Assist in coordinating the preparation of the draft audited financial statements and all tax returns.
- Produce monthly cash flow reports, annual budget, and forecasts.
- Calculate variances from the budget and report significant issues to management.
- As needed, provide financial analyses and models for capital investments, pricing decisions, and contract negotiations.
Compliance Responsibilities:
- Prepare and assist with developing audit schedules for the annual audit.
- Prepare and submit all government returns on time (URA/NSSF) applicable to payroll tax, ensuring compliance
- Ensure all required operational certificates are up to date, e.g. vehicles, NGO registration, insurance
- Maintain and update fixed asset register, ensuring regular inventory list of all equipment is reviewed and maintained.
Teaching, Training and Professional Development:
- To attend all relevant training and development opportunities available, and to actively seek out other training needed for further development
- To participate in the continuing professional development of the team by contributing topics of interest.
Professional:
- To be responsible for personal and continuous professional development through self-education, reflective practice, and active participation in the supervision process to further your own professional development
- To participate in the performance appraisal system as an appraisee and to be responsible for fulfilling your agreed objectives and personal development plan
Organisational:
- To demonstrate effective time management and organisational skills during the management of own workload and to be flexible in working patterns at all times.
- Keep accurate and up-to-date records, reports, and statistics at all times in line with organisational, professional and legal standards
- To undertake any other duties that might be considered appropriate by the Executive Director
Essential Qualifications and Experience:
- Education:
- A Bachelor’s degree in Finance, Accounting, Economics, Business Administration, or a related field.
- Professional accounting qualification (e.g., CPA, ACCA, CA) is highly desirable.
- Experience:
- At least 7 years of experience in financial management, with a minimum of 2 years in a managerial position.
- Demonstrated experience working in NGOs or similar non-profit organizations.
- Solid experience in financial reporting, budgeting, and forecasting.
- Experience in managing financial audits, compliance, and working with donors.
- Proficiency in financial software (e.g., QuickBooks, Sage, or other accounting systems).
- Knowledge:
- Strong understanding of financial management principles and practices, including cash flow management, cost allocation, and financial analysis.
- Familiarity with NGO financial regulations and donor compliance requirements.
- Good understanding of taxation and local financial laws.
- Knowledge of financial policies and procedures for international NGOs or development organizations.

Hours – Monday to Friday 8.30 am – 5:00 pm (working outside these hours may be needed on occasion)
