The Operations Manager will oversee and streamline operations within the SaaS company, ensuring efficient administrative support, financial management, and executive assistance. This multifaceted role combines responsibilities in personal assistance, financial oversight, and general administration, supporting the leadership team in achieving strategic goals and maintaining smooth day-to-day operations.
Key Responsibilities:
1. Personal Assistance:
- Act as the primary point of contact for the leadership team, managing schedules, appointments, and communications.
- Organise and coordinate meetings, including preparation of agendas, minutes, and follow-up actions.
- Handle travel arrangements, including bookings, itineraries, and expense reports.
- Maintain confidentiality and discretion in handling sensitive matters.
- Oversee budgeting, forecasting, and financial reporting for the company.
- Monitor revenue, expenses, and cash flow to ensure financial stability.
- Coordinate with accountants and external financial advisors for compliance with tax and legal regulations.
- Manage payroll, invoicing, and accounts receivable/payable processes.
- Analyze financial data to support decision-making and strategic planning.
- Develop and implement administrative systems, policies, and procedures to enhance operational efficiency.
- Manage office resources, tools, and vendor relationships.
- Ensure compliance with legal and regulatory requirements.
- Support HR functions such as onboarding, employee records management, and training coordination.
- Lead efforts to improve operational processes and implement best practices.
Skills and Qualifications:
- Proven experience in a similar role, combining executive assistance, financial management, and administrative functions.
- Strong organizational and multitasking skills with the ability to prioritize effectively.
- Proficiency in financial tools (e.g., QuickBooks, Zoho Books) and office software (e.g., Microsoft Office, G Suite).
- Excellent communication and interpersonal skills.
- Knowledge of SaaS operations and industry practices is an advantage.
- High level of professionalism, discretion, and attention to detail.
Educational Requirements:
- CPA Level 1 as a minimum qualification.
- Bachelor’s degree in Statistics, IT, Finance, or a related field.
