School Information:

7Hills is a not for profit school and follows the innovative IMYC Curriculum (year 7-9), the IGCSEs for years 10-11 and A-levels for years 12-13. 7Hills is seeking an administrator who will be fully involved in every aspect of school life, to inspire students to reach their full potential by fostering curiosity and an interest in learning. This is an exciting role for someone who wishes to contribute to the development of an International Secondary School within a supportive admin staff with strong links to parents and the local community.


Position Overview

The school administrator is responsible for the management, development and administration of the day to day operations. 


To manage the school campus's office and administration functions and provide an efficient and secretarial service to the faculty members at the campus, whilst ensuring efficient administrative systems are maintained; as well as overseeing the management of the team of support staff at the campus in ensuring high standards of school cleanliness and security.


Required Qualifications

  • Bachelor's degree in Education, Business Administration, or related field
  • Proven experience in school administration preferred.
  • Excellent communication and interpersonal skills.
  • Knowledge of Graphics and design is a requirement
  • Ability to multitask and prioritise tasks in a fast-paced environment.
  • Commitment to promoting diversity, equity, and inclusion in the school community.
  • Flexibility to adapt to changing circumstances and address challenges creatively.
  • Experience in an International School with a secondary level will be an added advantage.
  • Experience in marketing and advertising will be an added advantage.

  • To undertake any other duties as assigned by the Head of School or School Principal.
  • To ensure that the school's customer care standards are met and adhered to.

Duties and Responsibilities

Administrative and secretarial

  • Implement policies and procedures to ensure efficient and effective school campus management.
  • Coordinate with teachers and staff to support student learning and academic achievement.
  • Monitor students in the sick bay.
  • Collate, write (where necessary), format and disseminate school newsletters on a weekly basis.
  • Manage the school’s social media platforms while working with the school social media team, both in providing and disseminating content.
  • Monitor student attendance, behaviour, and academic progress, and report to the immediate supervisor as needed.
  • Identify information in school prospectus and enrolment documents that are out of date, get approval from the Head of School for proposed changes and get changes printed.
  • Participate in professional development opportunities to stay updated on best practices in education administration.
  • Ensure compliance with regulatory requirements and accreditation standards.
  • Maintain effective resource inventory for resources assigned.
  • Provide logistical support for IGCSE & A Level student field trips and placements
  • Support teachers and external facilitators to run Saturday workshops and clubs.
  • Provide logistical support for holiday camps and coordinate camps where appropriate.
  • To attend and provide logistical support and, where necessary, coordinate all school events, including but not limited to Entry and Exit Points, Open Mornings & Evenings, Shadow Days, Movie Nights, School Performances, Parent events and Staff Events, including managing the refreshments at all events.
  • Represent and promote the school at functions and to individuals/groups as needed.
  • Effectively manage and coordinate the school calendar as well as the calendar and schedule of the Head of School
  • Foster a positive and inclusive school culture that promotes student engagement andsuccess.
  • Support the school management to create policies as necessary.
  • Perform other duties as assigned by your line manager, the Head of School, Board or leadership team.


Pupil data

  • Keep record of pupil absences, report to the staff at the main campus about the pupil absences and complete pupil absence forms.


Finance and Procurement

  • To manage the compilation and maintenance of the school equipment inventory.
  • Liaise with the school accountant and school management on appropriate budgets, expenditures and accountability.


Personnel

  • To oversee the management, support and motivation of the support staff in liaison with the Support Staff Supervisor.
  • Manage, set objectives and ensure appraisals for the support staff, in liaison with the Support Staff Supervisor.
  • Instigate sickness management, by monitoring sick leave, identify sick management issues and raise them with the Support Staff Supervisor.


Standard of Services

  • The Administrative Officer is required to be available to work Monday-Friday from 7.15am to 5.30pm and on Saturdays from 8am - 12pm. Exact working hours within this framework will be determined by the Head of School, including the potential for reduced hours during school holidays. The Head of School, at their discretion, may grant up to 4 hours flexi-time to be taken the following school week after a working Saturday. Flexi-time must be used all at once, cannot be carried over past the following week and carries no monetary compensation value.
  • In addition, you shall be required to work up to 12 evenings and 12 full Saturdays a year, allocated at the discretion of the Head of School.
