Key ResponsibilitiesProcurement Management:
- Ensure all procurement follows company policies and agreed timelines.
- Achieve value for money through competitive and transparent processes.
- Oversee the use of Integra and other Enterprise Resource Planning (ERP) systems.
- Maintain and update a list of Master Purchase/Service Agreements and Authorized Suppliers.
- Conduct supplier due diligence, contract management, and market surveys.
- Manage international procurement and tender processes.
Compliance & Risk Management:
- Ensure procurement processes align with company Standard Operating Procedures (SOPs).
- Conduct compliance checks and audits to avoid violations.
- Address procurement-related compliance concerns and implement corrective actions.
Inventory & Asset Management:
- Implement inventory policies to maintain optimal stock levels.
- Conduct regular stock checks, warehouse audits, and year-end inventory reports.
- Ensure proper asset tracking, maintenance, and timely updates in Integra.
- Oversee asset disposal with required approvals.
Documentation & Reporting:
- Maintain complete and accessible procurement records.
- Generate and analyze Purchase Request Tracking Reports to prevent delays.
- Provide regular updates on procurement trends and policy changes.
Training & Capacity Building:
- Conduct training sessions for operations and program staff on procurement policies.
- Provide orientation for new staff on procurement procedures.
- Identify training needs and recommend skill development programs.
Staff Supervision & Performance Management:
- Set performance objectives for procurement staff and conduct performance reviews.
- Manage staff leave planning and ensure team coverage.
- Approve timesheets, travel requests, and disciplinary actions when necessary.
Qualifications & Experience:
- Bachelor’s degree in Supply Chain Management or related field (mandatory).
- Master’s degree in Procurement & Supply Chain Management or Advanced CIPS qualification (preferred).
- 3+ years of progressive supply chain experience, including procurement, logistics, and inventory management.
- Proficiency in ERPs, data analysis tools, and Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong project management, process mapping, and documentation skills.
- Experience in NGO procurement and supply chain business processes (preferred).
- Excellent interpersonal, communication, and leadership skills.
- Strong analytical thinking and ability to make strategic decisions.
- Ethical conduct and adherence to professional codes of ethics.
